I’m Hired! Now What? (Canada)

Carefully review the information on this page so you understand next steps and complete the required tasks as soon as possible.

Notification of employment—If you have gone through all steps of the hiring process (including an in-person or Zoom interview), you will receive notification of decisions via email:

  • If you receive an email indicating you have a contract to accept, this means you were selected. Click on the link in the email to accept the general agreement contract.
  • If you receive an email indicating you were not selected, this means you have not been selected for hire for FSY 2026. Unfortunately, our office is not able to provide individual feedback as to why an applicant is not selected. We wish you the best in your other endeavors this summer.

Employment authorization—All persons hired will be required to verify their identity and eligibility to work in Canada and to complete required employment eligibility verification forms upon hire. Be aware that a passport is NOT in itself sufficient authorization to work in Canada. Please note that FSY will not provide visa sponsorship for this position in Canada.

FSY Canada staff are paid via direct deposit into a Canadian bank account. If you do not yet have a Canadian bank account for which you will be able to set up direct deposit for your pay as an FSY Canada team member, we recommend you get one opened up.

Accept/Decline Contracts

All session assignments are made based on the availability you provided on your application. You will not be able to change your availability after confirming your schedule.

Accepting/Declining Contracts:

  • You will receive an email that you have been offered a contract.
  • You have ONE WEEK to accept or decline any contract given to you.
    • Contracts not accepted within seven days may be withdrawn.
      • Contact FSY Hiring immediately regarding any extenuating circumstances.
  • Employees that do not comply with these expectations risk losing all other assigned contracts. Any costs associated with flights booked for sessions become the employee’s responsibility.

Hiring Paperwork

Once you receive an email inviting you to turn in hiring documents, please complete all necessary forms and submit them to the BYU CE HR Office as soon as possible. Remember, you are not officially hired until your required hiring documents are correctly and completely filled out and received by the BYU CE HR Office (not the hiring office). Please call 801-422-7150 or email ce.hr@byu.edu with any questions.

Important note: If FSY receives incomplete or incorrect paperwork, you will be required to fill it out again and resubmit it. If paperwork has not been completed prior to your training session, you will not be able to report to work. Please read the paperwork instructions carefully.

You should have received an email indicating which documents to submit. Once you have read that email, you can read further instruction about the necessary document(s) below.

I-9

This is a required U.S. Government document. In order to complete it, please see the instructions below. Regardless of where you live, have your original and unexpired document(s) with you to complete the I-9. Please review the Lists of Acceptable Documents (PDF) for I-9 forms to see the options.

If you reside in Utah County, schedule an appointment to complete your I-9 at BYU. Appointments can be scheduled weekdays between 8:30–11:30 a.m. and 1:30–4:30 p.m.

If you reside in Salt Lake County, schedule a time to complete your I-9 at the BYU Salt Lake Center by calling 801-933-9435. The available days and times are Mondays 8:30 a.m.–4:30 p.m., Tuesdays 1:00–4:30 p.m., and Thursdays 8:30 a.m.–4:30 p.m.

If you reside in another location, you should have received an email from I-9 Everywhere to complete an I-9 remotely. If you have been hired but have not received this email, please reach out to request one from ce.hr@byu.edu

**International students: Before coming into our office or bringing documents to a session, please contact Human Resources at 801-422-7150 to see what is necessary for the I-9 document.**

W-4

This is an IRS employment form required for tax purposes. Every hired staff member will need to complete a new W-4 form for each year they work at FSY. The W-4 form cannot be completed until the I-9 form and Social Security verification are complete. Please follow the instructions below to complete the W-4.

  1. Go to the BYU Y-Jobs website.
  2. Select "Continuing Education Jobs"
  3. Log in using your BYU Net ID and password
  4. Select "FSY Employment Center"
  5. Select "W-4 (USA)"
  6. Filll out your withholdings and adjustments and click "Submit"
Direct Deposit

Direct deposit is mandatory. We cannot pay employees for any sessions worked unless this is filled out completely and correctly. The direct deposit cannot be completed until the I-9 has been completed and cleared. Please follow the instructions below to complete the direct deposit set-up.

  1. Go to the BYU Y-Jobs website.
  2. Select "Continuing Education Jobs"
  3. Log in using your BYU Net ID and password
  4. Select "FSY Employment Center"
  5. Select "Direct Deposit"
  6. Under the payroll section, select the bank account where you want your paychecks to deposit.
    • If you do not have an account set up already, select "Add/Update Bank Accounts"
    • Input the account nickname, routing number, account number, and the account type.
    • Click "Save Changes"
  7. Return to the Direct Deposit Account Assignment Page and choose the account from the dropdown list.
Social Security Card

If you choose to use a different document than the Social Security Card for your I-9 documents, please bring an original Social Security card (SIGNED) to the Human Resource office with your hiring documentation, or email a copy to ce.hr@byu.edu. BYU policy requires that a copy of your original document be uploaded to your employment file for IRS purposes.

  • If you do not have a Social Security card, visit the Social Security Administration website to find the office nearest to you. When you apply for a new card, a receipt will be given to you. This receipt can be used as a temporary card to move you forward in the hiring process. As soon as you receive the card, SIGN IT and either bring it to the Human Resource Office or email a copy to ce.hr@byu.edu.

A receipt can only be used as a hiring document ONCE with BYU.

  • The receipt will expire in 90 days. If it expires during your employment with FSY, your pay cannot be processed until a copy of your new card has been received.

FSY Handbook

It is a job responsibility to read, study, and understand the FSY Handbook before beginning work and to continue studying it throughout the summer.

The FSY Handbook for 2026 will be available in conjunction with online training for FSY employees. A hard copy of the FSY Handbook will be distributed at FSY in-person trainings beginning in May 2026.
